This Privacy Policy applies to the Aneemarcom Android application (the "App" or "Service"), operated by Aneemarcom Private Limited, an advertising and promotions agency (the "Company", "we", "us").
The App is a field-operations tool issued to authorized Field Officers to document the execution of the Company's promotional campaigns. It is not available to the general public, has no public sign-up, and is not a consumer social or content-sharing app. By signing in to and using the App, you confirm that you have read, understood, and agree to this Privacy Policy and our Terms and Conditions.
1. Introduction
A promotional campaign run by the Company is created in the office as an "Activity" and assigned to a team/van. A Field Officer signs in to the App, selects the Activity and team/van they are covering, and captures a series of geotagged photographs proving the campaign is set up as required. Each submission is sent to the Company's office dashboard, and the officer can review their own submission history within the App.
This Privacy Policy explains what information the App collects, why we collect it, how we use and protect it, who we may share it with, and the choices available to you. It is written to align with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and, where applicable, the Digital Personal Data Protection Act, 2023 ("DPDP Act"), as well as the Google Play Developer Program Policies (including the Data Safety section).
2. Definitions
- "Account" means the user record created for you by an administrator so you can sign in to the App as a Field Officer.
- "Activity" means a specific promotional campaign created and tracked by the Company, identified by an Activity number.
- "Submission" means a batch of photographs and related data you submit through the App to document your work on an Activity.
- "Field Officer" means an individual authorized by the Company (as an employee, contractor, or other engaged team member) to use the App to document Activities.
- "Administrator" means Company personnel authorized to create, activate, and deactivate Field Officer accounts and to review Submissions.
- "Personal Data" means any information that relates to an identified or identifiable natural person.
- "Service Provider" means a third party that processes data on our behalf and under our instructions (e.g., cloud storage, OTP delivery).
- "You" / "User" means the Field Officer who accesses or uses the App.
3. Information We Collect
Because the App has no public sign-up, we do not collect information from third-party sources, data brokers, or social media platforms, and the App does not offer social login.
3.1 Account and Login Information
- Full name and role, as set by an Administrator when your account is created
- Mobile number (used for OTP-based sign-in)
- Account status (active/inactive) and sign-in timestamps
- The Activity and team/van you select when signing in
3.2 Location Information
The App requires device location services to be turned on before you can sign in or capture a photo. For every photograph you capture, we record a full location fix: latitude/longitude, accuracy, altitude, altitude accuracy, heading, speed, the capture timestamp, a reverse-geocoded address, and a generated map link. The first photograph of a Submission requires a location fix accurate to within 10 metres before it can be taken; later photographs in the same Submission do not have this requirement.
3.3 Photographs
Photographs are taken through the App's own camera to document that specific promotional elements of an Activity (for example, a gazebo, backdrop, standee, or branded van) are set up on site. They are business-purpose site photographs, not personal or biometric photographs of you — though, because they are taken at a real physical location, a photograph may incidentally include people or surroundings present at the site. We do not run facial recognition or other automated biometric analysis on photographs.
3.4 Submission Metadata

3.5 Device and Technical Information
To operate the App securely and reliably, our backend systems process limited technical information as part of normal request handling, such as app version and basic device/platform information sent with requests, authentication tokens used to keep you signed in, and standard server access logs (timestamps, endpoints called, response status) retained for security and troubleshooting. We do not currently use third-party analytics SDKs, advertising identifiers, or behavioral tracking tools.
4. How We Use Information
We use the information described above to:
- Create and manage your Account, and verify your identity via OTP at sign-in
- Let you select an Activity and team/van, and capture and submit geotagged photographic evidence of your work
- Make your Submissions and their location/photo data visible to Company Administrators through the office dashboard, so completed work can be verified
- Let you review your own Submission history within the App
- Maintain the security and integrity of the App, including detecting misuse
- Respond to support requests and enforce our Terms and Conditions
- Comply with applicable legal obligations
We do not use your Personal Data for automated decision-making that produces legal or similarly significant effects, and we do not sell your Personal Data.
5. How Accounts Are Created
The App has no public registration. Every Field Officer account is created by an Administrator, as part of your engagement with the Company. You cannot create your own account, and there is no "sign up" flow in the App. If your engagement with the Company ends, an Administrator deactivates your account; see Section 9 and our Data Deletion Request Policy for what that means for your data.
6. Who Can See Your Information
Your Submissions — including your photographs and their location data — are visible internally to authorized Company Administrators through the companion office dashboard, for the purpose of verifying that campaign work was carried out. They are not visible to the public, and are not visible to other Field Officers. The App has no public-facing content, comments, or community features of any kind.
7. Information Sharing and Disclosure
We do not sell, rent, or trade your Personal Data. We may share information in the following limited circumstances:
- With Company Administrators, as described in Section 6.
- With Service Providers who process data on our behalf under contractual confidentiality and data-protection obligations (Section 8).
- For legal reasons, where we believe in good faith that disclosure is required to comply with applicable law, legal process, or a valid request from a government or regulatory authority, or to protect the rights, property, or safety of our personnel, the public, or the Company.
- In connection with a business transaction, such as a merger, acquisition, or sale of assets, subject to this Privacy Policy continuing to apply to the transferred data, with notice provided where required by law.
8. Service Providers
We rely on the following categories of third-party Service Providers to operate the App. Each receives only the data necessary to perform its function.

We do not currently integrate third-party analytics, advertising, or social-media SDKs. If we begin using such services in the future, we will update this Privacy Policy in advance.
9. Data Retention
The Company does not delete Account, Activity, or Submission data, and there is no fixed retention period after which it is removed. All such data is retained indefinitely, for as long as the Company operates: a Submission functions as permanent proof that specific promotional work was carried out for a client, and the Company's own recordkeeping, client-reporting, and audit obligations for that work do not expire. This applies even after your engagement with the Company ends — when your engagement ends, an Administrator deactivates your account, but deactivation only blocks sign-in; it does not remove or reduce the underlying data.
You may still request that inaccurate data be corrected — see our Data Deletion Request Policy for that process.
10. Data Deletion Requests
The App does not have a self-service "delete my account" feature, and the Company does not delete data at all, as a matter of policy — see Section 9 above and our Data Deletion Request Policy for why. What you can request is correction of inaccurate data or deactivation of your account; that Policy explains both processes in full.
11. Security Measures
We take reasonable technical and organizational measures designed to protect your Personal Data, including:
- Encryption of data in transit between the App and our servers using HTTPS/TLS
- OTP-based authentication (no passwords are stored)
- Session tokens (access and refresh) rather than long-lived credentials
- Photographs stored in a private cloud bucket, never publicly accessible — retrieved only through an authenticated request made by the App or the office dashboard
- Access to backend infrastructure and the office dashboard restricted to authorized personnel
No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
12. Your Rights
Depending on applicable law, you may have rights to access the Personal Data we hold about you, to correct inaccurate or incomplete data, and to withdraw consent to further processing (recognizing that this may make the App unusable for your role). Data deletion is not available — see Sections 9 and 10 for why the Company retains data indefinitely instead. To exercise any of these rights, contact your Administrator or use the Grievance Officer details in Section 18. We will respond within a reasonable time and in accordance with applicable law.
13. Children's Privacy
The App is a workplace tool for adult Field Officers engaged by the Company and is not directed at children. We require users to be at least 18 years of age. We do not knowingly create or maintain an account for anyone under 18.
14. Cookies and Tracking Technologies
The App itself does not use browser cookies, as it is a native mobile application. This legal-documents website does not set cookies either. We do not currently use third-party advertising or tracking cookies of any kind.
15. Third-Party Services
The App integrates with the limited set of third-party services described in Section 8 (OTP delivery and cloud storage). The App does not currently integrate social media login, a third-party maps SDK (location-based address lookups use device GPS plus reverse geocoding, not a third-party maps widget), payment processors, advertising networks, or third-party analytics platforms. If any of these are added in a future release, we will update this Privacy Policy and our Google Play Data Safety disclosure before the relevant feature is activated.
16. International Data Transfers
Our data storage and processing infrastructure may be hosted in data centers located outside your state or region. Where Personal Data is transferred across borders, we take steps intended to ensure it continues to be protected in a manner consistent with this Privacy Policy and applicable law.
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the App's features, or legal requirements. We will update the "Last Updated" date at the top of this Policy when changes are made. Material changes will be communicated to Field Officers through the App, your Administrator, or other reasonable means before they take effect.

19. Governing Law and Jurisdiction
This Privacy Policy is intended to meet the data disclosure requirements of the Google Play Developer Program Policies (including the Data Safety section), as applicable to the App's current and future distribution.
The governing law and jurisdiction applicable to this Policy are as set out in our Terms and Conditions.
This Privacy Policy should be reviewed by qualified legal counsel before publication. Data retention (Section 9) and governing law/jurisdiction (see our Terms and Conditions) are both resolved now, confirmed directly by Aneemarcom Private Limited. Company and Grievance Officer contact details are maintained in one place, on our Contact Us page, rather than repeated in every document. The legal entity name used throughout ("Aneemarcom Private Limited") was confirmed directly by the business owner.
